Job Description

We have a fantastic opportunity for a Planning Coordinator to join our team within Vistry Housebuilding Thames Valley, at our Reading office. As our Planning Coordinator, you will be responsible for providing administration and clerical support for the Planning department and assist the wider Land Team with administrative tasks where required. You will be working in conjunction with the Planning Manager and sitting within the wider technical department.

Desirable -

  • Experience within the construction industry or within a Local Authority Planning Department
  • Previous Land and / or Planning experience.
  • Experience in using Coins and Viewpoint (or other document sharing software).

More about the Planning Coordinator role…

  • Assisting the Land and Planning departments with administrative tasks
  • Coordinating new consultants to be credit checked, set up on COINS, and formally appointed for each site.
  • Raising Land and Planning purchase orders on COINS and ensuring appropriate authorisation of every invoice before liaising with the accounts department for payment.
  • Assisting with printing, collating, and distributing new bid information
  • Assisting the Land Team in producing a bid deliverables matrix with set deadlines and owners.
  • Researching and downloading planning information from Local Authority websites.
  • Setting up trackers for and monitoring the payment of S106 contributions
  • Assisting the Planning Manager in ensuring the on-site provision of S106 obligations across the business unit - this may include attending site to check on the progress of works or attend site meetings.
  • Liaising with and providing appropriate updates to S106 and CIL officers within the relevant Local Authorities for all sites, with the guidance of the Planning Manager.
  • Monitoring and ensuring the prompt payment of all CIL payments for all sites within the business unit in conjunction with the accounts department and ensuring invoices and receipts for each payment and received and filed.
  • Setting up new files and managing an agreed system of filing (mainly electronic) for all new bid sites within the business unit.
  • Ensuring all confidential information is appropriately safeguarded, and all processes follow current GDPR legislation.
  • Organising and attending all Land meetings and updating the land tracker.
  • Assist both the Planning and Land teams in relation to processing and tracking consultant invoices when received.
  • Acting as the key liaison for all consultants and visitors to Land and Technical department.
  • Assisting with reception/telephone/secretarial duties for wider business as required.
  • Assisting with the Planning and Technical department input to Social Value and other monitoring as required by the group.
